Building Agents

WhatsApp

WhatsApp messaging is an optional paid add-on. When enabled, agents can message the caller’s own WhatsApp after a call and when an appointment is booked.

Setup

1
Connect your WhatsApp account
Settings → WhatsApp, paste the API key from whatsapp.vaaniq.ai. Messages send from your number, never ours.
2
Create and approve your templates
Meta requires a pre-approved template for any message a business sends first. Create them in whatsapp.vaaniq.ai → Templates and wait for approval.
3
Choose the template and map its variables
On the agent for the after-call message, and on the calendar tool for booking confirmations. Fill each variable with a token so it is filled in per call.

The appointment confirmation template

Templates are yours, so the names and the variables are whatever you approved. Vaaniq does not require a particular name — you pick yours from a list. This is the shape we recommend, because it carries everything a caller needs:

text
Template name:  appointment_reminder
Category:       Utility

Hi {{1}},

Your appointment has been scheduled:
Date: {{2}}
Time: {{3}}
Location: {{4}}

Thank you.

Then map the variables on the calendar tool:

VariableTokenFilled with
{{1}}[name]The caller's name, as confirmed on the call
{{2}}[date]The booked date, e.g. Wednesday, 3 September
{{3}}[time]The booked time, e.g. 4:00 PM
{{4}}[location]Where appointments take place, from the calendar tool

Other tokens: [datetime] for date and time together, and [business] for your business name. Anything that is not a token is sent exactly as you typed it, so you can mix in your own wording.

WhatsApp template variables are positional. Whatever you put in the first box becomes {{1}}, so if your template asks for the date second, the second box must be [date] — otherwise the message sends with the wrong text in each line. Meta also rejects a message with any variable left blank, so every box must be filled.

The after-call message

Configured on the agent itself (Create/Edit agent → WhatsApp). It goes to every caller once the call ends, so it suits a short thank-you. A single-variable template works well:

text
Template name:  post_call_thank_you_message
Category:       Utility

Hey {{1}}! Thanks for chatting with us today.
Feel free to call us any time.

Map {{1}} to [Customer Name].

Nothing sent, no error to the callerA WhatsApp problem never fails a booking. The appointment and the email still go out — check the call logs for the reason.
Email is always the default channel and is never affected by WhatsApp. Without the add-on, appointment confirmations still go out by email, and no caller is messaged from any other number.
